Automated Collaboration - Delivering More with Less
The year 2001. Thousands of employees. Thousands of facilities. The largest fleet of vehicles in the U.S. A shrinking staff spread all over the country. Up against almost every environmental regulation on the book. And they have no effective network by which to share information, seek answers, and collaborate.
Tired of spending as much as half their time traveling, the environmental staff sought a solution. And 60 days later, the problem was solved.
Now, simply by signing on to a personal webpage ("MyPage"), users can access email, calendars and schedules, and news; and tap into an online repository of vital information. Most importantly, this widely dispersed staff can now truly collaborate and share knowledge and experience through real-time online discussions with other staff and by working jointly on documents and projects in progress - from their own desk, from another site, or from home if necessary.
How did this happen? A PPC team of knowledge management, IT application, and environmental issues specialists worked intensively with USPS environmental staff to identify the content they needed, the electronic tools they needed, and their own capabilities. PPC then developed and deployed the USPS Environmental Portal based on the Plumtree 4.5 Corporate Portal. Today it is used by more than 120 USPS employees - environmental as well as critical maintenance, safety, and facilities staff.
Given the Postal Service's high security and privacy concerns, Plumtree's ability to provide universal web accessibility to those who need it, while maintaining essential security down to the individual level, was also crucial to the success of the deployment. As well, this is the first Plumtree portal developed in full compliance with Section 508, a federal mandate that web content be accessible to all federal employees, regardless of disability.
Particularly important to the success of this Environmental Portal was the intensive full-day training program that PPC conducted in each of the nine USPS areas, teaching a staff how to access and use the system, identify and add content, collaborate effectively, and exploit all its tools. PPC also hosts and manages the portal - and maintains an electronic help desk to assist individual users.
Now, in meeting its many environmental responsibilities, the USPS is delivering more while using less.
